In an aspiration to achieve top-notch service and a conducive working environment, the Ministry of Public Order and Safety (MPOS), through the Human Resource Management Section (HRMS) of the Administrative and Finance Division (AFD), conducted a “5S Guidelines Writeshop on Organizing an Effective and Efficient Workplace” for the employees of the Ministry held from October 3 to 4, 2023, at the Majestea Cafe, Gov. Gutierez Ave., Cotabato City, BARMM.
The activity envisions crafting sound and responsive 5S good housekeeping guidelines as well as equipping the MPOS personnel with skills and competencies on how they can effectively organize their workspace and properly store, label, and arrange documents and office supplies in the office. The writeshop involved an in-depth discussion of Mr. Abdulhamid C. Alawi Jr., MHSD-BARMM Chief of Policy Development and Coordination, on the 5S pillars: Sort (Seiri), Set in Order (Seiton), Shine (Seiso), Standardize (Seiketsu), and Sustain (Shitsuke), which provide a methodology for organizing, cleaning, developing, and sustaining a productive work environment. “𝘔𝘢𝘱𝘢𝘱𝘢𝘯𝘴𝘪𝘯 𝘯𝘪𝘺𝘰 𝘬𝘢𝘱𝘢𝘨 𝘪𝘯𝘢𝘱𝘱𝘭𝘺 𝘯𝘪𝘺𝘰 𝘢𝘯𝘨 𝘮𝘢𝘨𝘢𝘯𝘥𝘢𝘯𝘨 5𝘚 𝘩𝘢𝘣𝘪𝘵𝘴 𝘴𝘢 𝘣𝘢𝘸𝘢𝘵 𝘦𝘮𝘱𝘭𝘦𝘺𝘢𝘥𝘰 𝘢𝘵 𝘴𝘢𝘬𝘢 𝘮𝘢𝘨𝘢𝘯𝘥𝘢𝘯𝘨 𝘱𝘢𝘨𝘴𝘢𝘴𝘢𝘮𝘢𝘩𝘢𝘯, 𝘢𝘵 𝘱𝘢𝘨𝘬𝘢𝘬𝘢𝘳𝘰𝘰𝘯 𝘯𝘨 𝘬𝘶𝘭𝘵𝘶𝘳𝘢 𝘯𝘨 𝘸𝘰𝘳𝘬 𝘱𝘳𝘰𝘥𝘶𝘤𝘵𝘪𝘷𝘪𝘵𝘺. 𝘛𝘩𝘦 𝘴𝘤𝘰𝘳𝘦 𝘸𝘪𝘭𝘭 𝘵𝘢𝘬𝘦 𝘤𝘢𝘳𝘦 𝘰𝘧 𝘪𝘵𝘴𝘦𝘭𝘧,” Mr. Alawi said.
The intensive workshops were supervised in order for the thirty five (35) MPOS personnel to apply the knowledge gained in the discussions and to provide them with an opportunity to collaborate with other personnel from other offices, divisions, and sections.
During the writeshop, Sadria Kendayo, a representative of the Information and Communications Section, shared her insights. She underscored the importance of the 5S methodology, particularly its favorable influence on the Ministry’s reputation when hosting visitors. She articulated, “5𝘚 𝘪𝘴 𝘢 𝘨𝘳𝘦𝘢𝘵 𝘦𝘹𝘢𝘮𝘱𝘭𝘦 𝘰𝘧 𝘢𝘯 𝘰𝘳𝘨𝘢𝘯𝘪𝘻𝘦d 𝘸𝘰𝘳𝘬𝘱𝘭𝘢𝘤𝘦 𝘦𝘲𝘶𝘢𝘭𝘴 𝘵𝘰 an 𝘦𝘧𝘧𝘦𝘤𝘵𝘪𝘷𝘦 𝘸𝘰𝘳𝘬𝘧𝘰𝘳𝘤𝘦. 𝘛𝘩e 𝘴𝘶𝘤𝘤𝘦𝘴𝘴 𝘰𝘧 5𝘚 𝘪𝘮𝘱𝘭𝘦𝘮𝘦𝘯𝘵𝘢𝘵𝘪𝘰𝘯 𝘤𝘢𝘯 𝘪𝘯𝘤𝘳𝘦𝘢𝘴𝘦 𝘵𝘩𝘦 𝘦𝘧𝘧𝘪𝘤𝘪𝘦𝘯𝘤𝘺 𝘢𝘯𝘥 𝘦𝘧𝘧𝘦𝘤𝘵𝘪𝘷𝘦 𝘰𝘧 𝘰𝘶𝘳 𝘵𝘢𝘴𝘬 𝘢𝘯𝘥 𝘸𝘰𝘳𝘬 𝘧𝘰𝘳 𝘵𝘩𝘦 𝘔𝘪𝘯𝘪𝘴𝘵𝘳𝘺,” she shared.
To successfully craft the 5S housekeeping guidelines, the participants collectively engaged in a writeshop facilitated by Mr. Alawi to prepare the 5S workplace standard, 5S Action and Communication Plan, 5S Core Team Functions, 5S briefer, and office order.
Ms. Hajarah Divinagracia, representing the Office of the Minister, expressed her optimism that they will actively implement the outcomes of this workshop, stating, “𝘔𝘢𝘭𝘢𝘬𝘪𝘯𝘨 𝘵𝘶𝘭𝘰𝘯𝘨 𝘢𝘯𝘨 5𝘚 𝘴𝘢 𝘢𝘵𝘪𝘯𝘨 𝘰𝘱𝘪𝘴𝘪𝘯𝘢. 𝘔𝘢𝘢𝘴𝘢𝘩𝘢𝘯 𝘯𝘪𝘺𝘰 𝘱𝘰 𝘢𝘯𝘨 𝘣𝘶𝘰𝘯𝘨 𝘴𝘶𝘱𝘰𝘳𝘵𝘢 𝘯𝘨 𝘖𝘔.”
The training was positioned to effect significant improvements in the Ministry to advance its services and further revamp the workspace of the office to promote smooth-flowing operations.
